July 22 PTO meeting-Cask and Cork

Meeting called to order at 5:37 pm.

Membership dues increase was put to a vote.  All in attendance were in favor of an increase of $10 per family. A membership drive/competition is in the works in order to increase memberships. Teacher incentive to sign up is a free SH shirt, as we don’t currently have the funds to do the usual $100 classroom supply incentive.  A vote was held to continue to honor lifetime memberships to those who are Lifetime PTA members; 100 percent was in favor of honoring the lifetime memberships.

A completed budget was unavailable at the meeting, but will be done and sent via email for approval.

Jessica and Shannon are exploring ways to accept online payments and would like any input from any of you that may have experience. Venmo is not available for use by non-profits.  There will be a PTO website with ways to purchase spirit items and pay membership dues.

T-shirt orders are available now in a blue short-sleeved design. Fridays will be “spirit day”. Other spirit items may be available such as decals, silicone bracelets, and yard signs (these are still in the works, but will say “A Sleepy Hollow Horseman lives here” and are approximately $5-$8 to print. More info to come on these).

The Back to School staff breakfast is awaiting a date and awaiting information on if PTO can bring homemade dishes/casseroles or if all will need to be store bought. More info to come and a chance to sign up to help via Sign UP Genius.

A Color Run will be our first fundraiser. It comes with its own online platform to accept donations. Will be a block party type event with a race, then food trucks. Companies/families that donate above a certain amount will get their logo/name on the back of the shirt. That amount is still being decided. No date has been set as of yet.

Horseman Harvest has no chairperson or volunteers as of yet. Anyone of us can sign up to lead it. Also, we can ask parents who are not currently on the board if they want to plan it. Will be a “program” rather than a fundraiser. An idea was brought up to hold it at pumpkin patch with a “Sleepy Hollow night” event.

Homeroom moms will change to one person being “Grade level chair person” and can organize parties and parents among the grade level. Let Colby Barrow know if you want to volunteer to be the grade level chair person for your child’s grade.

There is no volunteer for Calendar committee so for now, email the date of your event and any info to Jessica for the Horsetalk newsletter. Again, if you want to help on this committee or know someone, please contact Jessica.

“Pastries with Parents” will be held over several days hopefully in September as a way to create community among parents and meet others.

Each committee chair was given/will be given a blue folder where she can keep all pertinent information so that when a committee has a new leader, the folder can be passed on to them.

Executive Board Meeting August 10, 2021

Meeting called to order 5:41 pm

We are awaiting tax exempt status. All forms have been filed and we should receive notice through mail soon. Our status will be 509a1.

5th Grade Committee would like to become part of PTO to benefit from our tax exempt status and be covered under our insurance. All members in attendance agreed to this. Jessica will notify Melinda Rahlfs and Shelley Henson, heads of 5th Grade Committee.

PTO is providing the 5th Grade Committee with a fundraising opportunity to replace Horseman Harvest. 5th grade will “flock” yards with Horseman signs. Bonnie Hancock is working to have 15 signs made. PTO will advertise the fundraiser on our website. The signs will be $25 for the first house and $40 for each additional house. The owner of the home to be flocked will be notified the night before. 5th Grade Committee will receive the first $1,000 raised. Any additional money raised will go to PTO.

Information sheets are being made for committee folders. They will contain information such as companies/individuals that have donated, directions on completing tasks, and event setup.

Several people have expressed interest in helping with a monthly newsletter. Jessica may utilize one of the volunteers for our Facebook page, also.

We will need volunteers to pass out PTO information sheets at Meet the Teacher on Thursday, the 12th. The sheet will contain QR codes with links to the PTO website, Remind, Facebook group and signup forms for volunteer/room moms. Spirit wear, color run and donation information will also be included.

Wednesday folders will be going home again this school year. We will send home a flyer for a membership drive contest. There will be prizes for the top grade level as well as the top class in each grade.

Jessica will ask Mr. Paddock to send out a Remind asking students to come chalk the walk of Sleepy Hollow for the first day of school.

The budget was reviewed and amended where necessary. Shannon will present a finalized version for approval.

We will need to purchase our own reams of paper for copies throughout the year. We discussed possibly using the same color for all PTO forms that are sent home with students.

September 2, 2021 PTO meeting at Sleepy Hollow

Minutes were reviewed from the August meeting and no changes were needed. Kelly moved to approve the minutes and Melissa Roy seconded. Motion carried.

Shannon presented a new budget that includes sales tax for t-shirt sales. A few changes were made. Art works expense has been removed and color run expense was increased to $5,000. Brenda moved to approve the amended budget and Melissa Roy seconded. Motion carried.

Horsemen Harvest will take place at Maxwell’s Pumpkin Farm on October 22nd. Wristbands will be sold for this event. A minimum of $2500 is required to reserve the farm. Our cost is $12.95/person. We will mark this up some to cover the cost of wristbands and advertising.

We will push a membership drive following the color run. Most teachers have already signed up. At this time we have 126 total members, 92 family and 34 staff.

Fun Friday will begin this week. The 1st Friday of each month will have a fundraiser. This month (tomorrow) will be a silly sock day for $1. Money raised will be used to benefit the school. Every Friday Smencils will be sold for $1 and bracelets for $2.

Spirit Sales so far total $4,600. Sales are closed at this time but another sale date is being considered in the future to sell long sleeve shirts and hoodies. We have some fitted, children’s hats we can sell for $22 at this time. We are unsure of our profit at this time but expect to earn approximately $6/shirt.

$12,500 has been raised so far for the Color Run. This number is changing quickly. Mr. Paddock and Mrs. Peterson have been promoting the event at school. The event will take place on September 10th. There will be food trucks, a DJ, 4 color stations, and 5th grade will be selling drinks to raise funds. Each grade is competing to receive a popsicle party. The goal is $25 raised per child.

Restaurant nights are set through January. This month is La Fiesta, October is Teddy Jacks, November is Sonic, December is Papa Murphy’s and January is Walk Ons.

Grandparent’s Day/Bake Sale may not happen this year due to Covid.

5th grade will begin “flocking” yards in October. Sign-ups and advertising will begin at the end of September.

The Hospitality committee has decided to celebrate teacher birthdays with bundtlet cakes. They will be delivered monthly. They are also stocking the teacher lounge with coffee once a month. All food must be prepackaged and store bought.

Andie Keller is making the monthly newsletter/calendar. Any information to be included should be given to her or Jessica Schenk by the 20th of each month.

Mini has been working with Veronica on directory information. This is a work in progress as classes are still being switched around at this time.

Kim has flyers advertising yearbooks that will go home in Wednesday folders. She is currently setting up a Google Drive for yearbook photos to be added. Room parents will be responsible this year to add photos for each class.

Wednesday folders are being handled by Mini Tumula, Shelly Henson and Kelly Slaughter. All flyers to be included must be in by Monday evening as folders are stuffed on Tuesday morning. We will need to train someone new in the spring to take this over for next year.

Pastries with Parents will take place 7:15-7:50 on the 24th.

The Horsemen Helpers committee have planned out their first 3 projects. Dawn and Pam were unable to attend the meeting but sent in notes of their plans. The first 6 weeks they will be stocking our sister school, Margaret Wills, teacher lounge with coffee and goodies. They will also supply our Sleepy Hollow teachers with basic needs such as composition notebooks, markers, crayons and colored pencils. They are currently looking into how we might help with Hurricane Ida relief through Convoy of Hope. The second 6 weeks will benefit the High Plains Food Drive. They’re working to make it easy for SH families to donate. FYI $1 provides 6 meals for a family in need. The third 6 weeks will include Christmas Greeting Cards to our local retirement homes and a stuffed animal drive for The Bridge.

Shannon moved for Brenda Atkins to become a signer on the PTO checking account. Jaymie Wu seconded and motion passed.

September 24, 2021  Executive Meeting at Cask & Cork

PTO has received tax exempt status. 

 

Kelsey has a classroom we can use for future meetings at the school.

 

Pastries with Parents went well.

 

Horseman Helpers needs a point person since we do not have a VP of programs.  Brenda Atkins will take over that role  Kelly McWhorter will be the point person for Science with Santa. There is a Sleepy Hollow family in need of financial assistance. After thorough discussion, the board determined that it would not be feasible to provide funds. The rationale is that many families are in need and we are not in a position to provide this type of assistance for future requests. Margaret Wills doesn’t have a need for us to stock the counselor’s closet this year.  Jessica will discuss with Paddock the possibility of helping out another school in need. The canned food drive will take place in November. In October, Horseman Helpers will ask for stuffed animals to be donated to The Bridge.

 

We are waiting for a date for Sock Hop.

 

Teacher Appreciation will provide tea and pizza from TX Firehouse on Tuesday, the 28th. They are also providing bundt cakes once a month for teacher birthdays.

 

Kelly McWhorter will be working with the Science with Santa committee to set a date for the event as well as find an available Santa.

 

Kylee says we’ve had 143 registrations in the membership drive.  This includes parents and faculty. Next week is the last week for the drive. The top class will receive a popsicle party. Homeroom moms will be able to help push memberships by emailing a welcome and providing a signup link. Kylee will be contacting any members that have not yet joined.

 

T-shirts should be ready for pickup today and will be distributed Monday morning.  There was a color error in the original printing of our order. We have the option to purchase those shirts at $3.75 each for short sleeves and $6 for long sleeves. There are approximately 275 shirts available to purchase. All members in attendance agreed we will purchase these shirts. 

 

Horseman Harvest at Maxwell’s Pumpkin Farm has already sold over 50 tickets totalling over $1,000.  We have 4 high school student volunteers for the event (Bristal, Brody, McCarthy & Hadley). Volunteers will be present at the park entrance to collect entry fees for those not prepaid. PTO will sell t-shirts at the event in 30 min shifts 5-7:00.

 

Teachers asked Jessica to to pay $75 for part of their United Way luncheon.  Members in attendance decided against this.

 

Kelly McWhorter is preparing a Color Run thank you note for next month’s newsletter.

 

Jessica has made some Horseman Heart Bucks to be given to Mr. Paddock.  These bucks can be given to students for helping and good behavior.  Bucks may be used to purchase smencils and spirit sticks on Fridays.  We’ll begin with giving Paddock $25 the first month.

 

Fun Fridays will be limited to keep it special for the students and money raised will be used to give back to the community.

 

Flocking signs are in and look great.  We still are unsure what to call this fundraiser.  We will charge $25 for the first house and $35 for 2.  We will continue flocking as long as it is successful/profitable.

 

The signup for copy moms will be sent out to more people. Volunteers can only come on Wednesdays.

 

Custodian day is October 2nd.  Teacher appreciation will come up with a gift for our 3 custodians.

 

Milligan and Weatherly are our teacher representatives.

PTO meeting at Sleepy Hollow

Membership-4th grade won membership drive and received a popsicle party. There are 163 total memberships and $275 additional donations for a total of $1759.13. 133 directories will be needed for memberships.

Treasurer-We will vote on some budget changes at the next meeting. 

Spirit Sales-Extra shirts (misprints) were purchased and will be sold after school today by pre-k and kinder doors.

Smencils, spirit tags & Fun Fridays-Fun Fridays will be alternating every other month between PTO and 5th grade. Funds raised by PTO will be used to give back. 

Margaret Wills needs 40ish pairs of sweats.

Horseman Heart Dollars have been printed and given to Paddock.  They will be given to students caught using their “horseman heart”. 

Restaurant Nights-August Kona Ice made $127.04, September La Fiesta made $345.38. Dates are set through March. October-Teddy Jacks, November-Sonic, December-Papa Murphy’s, January-Walk-Ons, February-Chop Chop, March-Torchy’s.

Horseman Harvest will be at Maxwell’s Pumpkin Farm. Wristbands have been ordered, roughly 125 tickets have already been sold, and flyers went home yesterday. Closer to the date of the event, tickets will be sold at school.

Grandparent’s Day & Bake Sale are cancelled this year due to Covid. We will possibly come up with something else in its place in the spring.

A Horseman Rides Again-5th grade will be moving the signs. Shelley Henson is in charge. 50 additional signs have been ordered and may be purchased at $16/each.

Hospitality-Pre-K and Kinder stocked the teacher’s lounge this month. Teacher Birthdays in August and September  were given bundt cakes. Custodians were given pizza and dessert and Ruthie was given a pedicure for Custodian Day. Leftover scones and coffee from Pastries with Parents were given to Margaret Wills.  The next teacher appreciation event will be a candy bar.

Horseman Helpers-New stuffed animal drive for the Bridge will take place October 11-27th. November will be High Plains Food Bank canned food drive. In December students will make Christmas cards for nursing homes.

Science with Santa will take place December 13th.

Sock Hop will take place April 1st 6-8pm at Netplex. The venue and DJ are booked and paid for with credit from 2019 deposits. 

Newsletter/Calendar-The deadline for newsletter is the 20th of each month.

Directory-Mini needs favorite things list for faculty and a tentative calendar.

Yearbook sales are going well. Photo submissions are not very high. We need to send out a remind message for more photos.

Homeroom Parents will begin talking about Christmas parties soon.

Copy Room is covered by homeroom parents.  More volunteers are needed. At this time there is so much work to be done.  Teachers are given a one hour slot to have their copies made.  We will have to stop after 1 hr. Horseman Heroes needs dad volunteers for drop-off and Paddock would like them at pick up as well. This needs a flyer and to be publicized.

October 29, 2021 Executive Board Meeting

Horseman Helpers is working on a volunteer opportunity at High Plains Food Bank. They will find out how many can volunteer at a time and then decide which grades to invite. They will determine date, time and make a flyer.  The canned food drive will be November 15th-19th. December will be cards for nursing homes.  Sweat pants need to be bought for Margaret Wills.

 

Sock Hop will take place April 1st. Mr. Paddock would like us to make baskets for a silent auction to replace Bake Sale.  If we decide to do this, we will need to notify homeroom moms so they can begin making baskets. 

 

Teacher Appreciation Boo’d the teachers today. For November the plan to buy mini pies at Walmart for .50. These will go to SH teachers as well as Margaret Wills.

 

Science with Santa will be December 13th. Santa has been booked.  Mrs. Milligan is discussing science ideas with teachers.

 

We have 164 total memberships. 

 

SH t-shirts will be given to students new to the school in a goody bag possibly along with an old yearbook and spirit stick.

 

We sold around 700 tickets to Horseman Harvest for a profit of $1484.20. 

 

Friday Sales seem to be breaking even.  Smencils need to be ordered.

 

No check yet for restaurant night at Teddy Jack’s.

 

We have flocked 18 yards so far.

 

Mini is still working on the directory.

 

It is time to begin publicizing yearbook sales.  

 

The signup for copy moms will be sent out weekly.

PTO Minutes November 11, 2021

Spirit Sales- Many items are on backorder. Christmas smencils and foam animals have been ordered.
Restaurant Nights- We don't know how much Sonic night earned yet.
Grandparent’s Day & Bake Sale are cancelled. We are considering doing a basket for each grade level to be auctioned in the spring at Sock Hop.

A Horseman Rides Again- has not been successful so far. 5th grade wants to wait until spring to promote the fundraiser. We discussed the possibility of dropping the fee from $25 to $20. Hospitality-1st grade is stocking the teacher’s lounge with coffee this month. Pies will be bought and delivered the week of Thanksgiving for Sleepy Hollow and Margaret Wills teachers. Horseman Helpers- did the stuffed animal drive for The Bridge October 11-27th. November 15th-19th will be the High Plains Food Bank food drive. Tuesday and Wednesday of that week will be dollar days. Students will pay $1 to dress up. Money will go to HPFB. Dawn and Pam will work on having the students make Christmas cards to be sent to nursing homes.

Science with Santa will be December 13th. Santa has been reserved. Teachers are working on the Science activities.
Sock Hop will be at Netplex April 1st. We will possibly auction gift baskets at the event.
The deadline to print information in the newsletter is the 20th of each month.

Mini is almost done with the directory.
Yearbooks- so far 32 sold K-4th grade, 15 sold to 5th grade and 5 5th grade ads purchased. Yearbooks need to be publicized.
Christmas parties will take place the last 30 minutes of school the day before holiday break. Teacher Shopping Days-will be December 15th & 16th. Teachers will each receive a 2 hr break to go shopping.
Horseman Heroes needs to be clarified and publicized.
Book Fair will take place February 7th-11th. Volunteers are needed.

Horseman Helpers will be doing a drive for the counselor’s closet at Margaret Wills the week of February 14th. 

Sock Hop is scheduled for April 1st.

Teacher Appreciation is planning a meal for teachers in February.

Book Fair will be the week of February 7th. Mrs. RB, the librarian, feels we may need help before school. Jessica will talk with Paddock. 

Fundraising- Mr Paddock has mentioned wanting an additional fundraiser.  Get Moving will do the work for us and provide a fun day of jumping that all students can participate in. Jessica will speak with Paddock regarding what he would be raising funds for.

Friday Sales and Restaurant Night are going well.

Wonderland Night will have more info soon.

Art Works received their information in the mail.

Treasurer- Shannon received a form from the state regarding sales tax. She will be contacting them to see if a certificate is necessary.

It is time to begin thinking about a nominating committee for next year. We will discuss this at the next meeting on Thursday.  Ideally we can do some training with the incoming positions for the executive board before the end of the year.

The directory has been completed and turned out great.

Valentine parties will be on February 11th at 2:30.

Mr. Paddock has mentioned wanting to have a spring cookout for all students and families.

PTO Meeting February 11, 2022

Called to order 11:37

We are on budget.  Mr. Paddock will be meeting with faculty to discuss their financial needs.  Jessica mentioned the idea of using funds for field trips to Paddock. He said something to consider is that all students are required to wear masks on the buses so we’d need to provide them.  If we have a need for a fundraiser, we will do Step It Up.  All students will be able to participate. We’d like it to happen at the same time as field day in the spring.

5th grade committee will rejoin the PTO next year.  This will allow for better coordination between the two.

Restaurant nights are scheduled for Torchy’s in March and Chuy’s in April. Charlotte will arrange for the snow cone truck to come again in April and May and possibly during Step It Up fundraiser.

5th grade committee has put the yard signs on pause until March.

Art Works is underway. Flyers will go home to parents toward the end of February.

Kim has received an email regarding Wonderland Night.  It will take place on May 20th with Bonham and other elementaries in our cluster. Price will increase from $15 to $20.This year Wonderland will provide us with wristbands and tickets.  We will not be required to prepay wristbands.  We are to sell wristbands first then tickets. Spectator passes have also increased from $5 to $15. We will have tickets available through our website.

Teacher Appreciation is providing Olive Garden for lunch on Valentine’s Day. They have provided mini bundt cakes for January birthdays.

Horseman Helpers are collecting sweatpants and underwear for our sister school, Margaret Wills, the week of February 14th. The plan to collect toiletries for Sunshine Cottage and Martha’s Home in the future.

Sock Hop is right on track for April 1st. The venue (Netplex) and DJ have already been paid for.  Pizza will be available for purchase. 

Paddock would like to have a spring cookout during student’s lunch times. He would also like to have a movie night in the park with food trucks. Dates have not been discussed.

Horseman Heroes have not been happening.  Possibly it will start again when the weather is warmer.

The Book Fair went amazing.

This week was counselor appreciation. PTO gave our counselor a pack of pens and a United gift card.

PTO Meeting March 3, 2022

Mr. Paddock met with teachers regarding their needs and will meet with 5th grade and Jessica to discuss.
We’ve decided to not participate in the Step it Up fundraiser as they take too much profit. Committee chairs and board members for next year are still being worked on.
We received $200 from last week’s Chop Chop restaurant night. Charlotte is working to get the snowcone truck to come the week of STARR testing.
A Horseman Rides Again was advertised in this month’s newsletter.
Kim Akins asks that all order forms for year books be placed in the PTO box.
Art Works is under way. Order forms went home this week.
Teacher Appreciation Week may be moved due to STARR testing. Jaymie gave birthday bundt cakes to teachers today. Stock the lounge will be just coffee for the month of March.
Horseman Helpers will do a book drive for Storybridge next week.
Sock Hop planning is underway. Invites will be printed 2 per page. We will check with AISD on printing color pages. Volunteers from AHS are coming. A sign up for parent volunteers will go out soon. There will be Bahama Bucks for a prize for the hula hoop contest. Children are welcome to dress 50s during the school day on April 1st as well as for the event.
The fee for a projector for movie in the park is $200. Most likely we will show Sing 2 or Encanto. Sarah Carrick will call for food trucks.
For the spring cookout at lunch time, we will ask students and parents to bring a picnic lunch. We will discuss dates for the event after STARR testing is complete.
